Terms of Service

1. Agreement to terms

By creating an account or using StatementCSV ("the Service"), you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you do not agree to these Terms, do not use the Service.

2. Description of the Service

StatementCSV provides a document conversion service that uses optical character recognition (OCR) to extract transaction data from bank statement PDFs and convert them into structured CSV or Excel files.

3. Account registration

  • You must provide a valid email address and create a password of at least 12 characters, or sign in via Google.
  • You are responsible for maintaining the security of your account credentials.
  • You must notify us immediately if you suspect unauthorised access to your account.
  • You must be at least 18 years old to use the Service.

4. Acceptable use

You agree to use the Service only for lawful purposes. You must not:

  • Upload documents that you do not have the legal right to access or process
  • Use the Service to process documents containing information about individuals without a lawful basis to do so
  • Attempt to gain unauthorised access to the Service, other accounts, or our infrastructure
  • Use automated tools to scrape, crawl, or overload the Service
  • Upload files that contain malware, viruses, or malicious content
  • Use the Service for any activity that violates applicable laws or regulations, including data protection and anti-money laundering legislation

5. Document processing and data handling

  • You retain full ownership of your uploaded documents and the data contained within them.
  • We process your documents solely to provide the conversion service. We do not read, analyse, or use the contents of your documents for any other purpose.
  • All uploaded documents and generated output files are automatically and permanently deleted after 7 days. You may also delete them at any time.
  • We maintain auditable records of all deletions for compliance purposes.

6. Payment and billing

Monthly subscription

  • The monthly subscription provides plan-specific conversion credits each month, and unused subscription credits carry over to the next month while your subscription remains active.
  • Subscriptions renew automatically each month unless cancelled.
  • You may cancel your subscription at any time. Access continues until the end of the current billing period.

Pay-as-you-go credits

  • Credits can be purchased in packs and are used at a rate of one credit per document conversion.
  • Credits do not expire.
  • If a conversion fails due to a system error, the credit will be automatically refunded.

Refunds

  • Subscription credits and credit pack credits may be refunded within 14 days of the date the credits are administered, provided the credits remain unused.
  • Credits are non-refundable after 14 days from the date they are administered.

7. Service accuracy and limitations

  • OCR technology is not 100% accurate. We do not guarantee that the extracted data will be error-free.
  • You are responsible for reviewing the output and verifying its accuracy before relying on it for any purpose, including accounting, tax filing, or legal proceedings.
  • The Service is not a substitute for professional accounting or financial advice.
  • Conversion quality may vary depending on the format, quality, and layout of the uploaded document.

8. Availability

We aim to provide a reliable service but do not guarantee uninterrupted availability. We may perform scheduled maintenance with reasonable notice. We are not liable for downtime caused by circumstances beyond our control.

9. Intellectual property

  • The Service, its design, code, and branding are owned by StatementCSV.
  • You retain all rights to your uploaded documents and the data within them.
  • We claim no ownership or licence over any content you upload.

10. Limitation of liability

To the maximum extent permitted by law:

  • The Service is provided "as is" without warranties of any kind, whether express or implied.
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
  • Our total liability for any claim related to the Service shall not exceed the amount you have paid us in the 12 months preceding the claim.
  • Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Account termination

  • You may delete your account at any time through your account settings. All associated data will be permanently removed.
  • We may suspend or terminate your account if you breach these Terms, with notice where reasonably practicable.
  • Upon termination, all your data will be deleted in accordance with our data retention policy.

12. Changes to these terms

We may update these Terms from time to time. We will notify you of material changes by email or by a notice on the Service. Continued use after changes take effect constitutes acceptance. If you do not agree with updated Terms, you should stop using the Service and delete your account.

13. Governing law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
